Job Title: Civic and Democratic Officer

Reporting to: Business Manager

Salary / Grade: £22,777 (SCP 6)

This is an exciting opportunity for an administrator with an eye for detail who wants to work in local government supporting Democratic and Civic workstreams. Weymouth Town Council is one of the largest town councils in the country. We work closely with our communities, elected members, Dorset Council and local organisations to create thriving communities in Weymouth where everyone is proud to live, work, play and visit.

As a town council we are responsible for a wide range of services including parks, play areas, open spaces, public toilets, Weymouth beach, allotments, and cemeteries. We ensure a high standard of legal and informed decision making by running excellent democratic services. We support our Mayor and Deputy Mayor to engage fully with our communities by effective support. The democratic and civic officer is a key function in facilitating our high standards of working.

Job Purpose:

  1. To deliver the democratic administration around Councillor meetings both public and private.
  2. To support Councillors in fulfilling the requirements of the role through organisation and support.
  3. To support the Mayor and Deputy Mayor in their civic duties, ensuing diaries are managed, commitments are communicated, and civic requirements met.
  4. Working with the public to ensure they understand the roles and responsibilities of councillors and how to access democratic services.
  5. To support officers and Councillors in carrying out delegated actions.
  6. To carry our administrative support including responding to enquiries from the public and tracking complaints etc.  

Key Responsibilities:

  1. Undertake all tasks associated with administering the Council’s governance arrangements, including agenda collation and despatch, preparation of minutes, advice to staff, Councillors, and the public, and ensuring proper legal governance.
  2. Evening attendance at Committees and member working parties to provide administrative support and take minute notes (approximately one per week but may fluctuate occasionally, flexi time to counter act)
  3. Providing an effective support service to Councillors, including handling enquiries and updating web pages on the Council’s website.
  4. To participate in the creation and delivery of the Council’s Councillor training and development programme.
  5. Managing the Mayors and Deputy Mayors diary and appointments.
  6. Support departments at civic events with the events team and communication team to highlight benefits and events to the community.
  7. To provide general administrative support to the business team including document management, meeting management, customer and office support, projects, and research, providing support and cover as needed.

We are seeking reliable individuals to join the Resort Team as a Cleaner for the Summer 2023 season, to ensure that high standards of cleanliness are maintained across the town’s public toilets and other facilities.

Flexible hours available! We have opportunities for those looking for part-time and full-time hours, working either weekdays, weekends, or both.

Salary: £11.01 an hour

Job Type: Full-time and part-time hours available

Schedule: Day shift, Monday-Friday, Weekend availability or Weekends only

Responsibilities

  • Maintaining a high standard of cleanliness in all seafront facilities, including toilets and surrounding areas.
  • Ensuring that all cleaning equipment and supplies are sufficiently stocked.
  • Conducting regular checks on all facilities to report any defects for timely repairs.
  • Unlocking and locking-up facilities in accordance with established procedures.
  • Providing excellent customer service by assisting with general inquiries from the public.
  • Complying with all health and safety policies and procedures.
  • Performing any other reasonable duties as assigned by management from time to time.

Requirements

  • Previous experience in cleaning and maintenance is preferred, but not mandatory.
  • Strong attention to detail and ability to work independently.
  • Good communication skills to provide excellent customer service.
  • Knowledge of health and safety policies and procedures.
  • Reasonable levels of fitness, with the ability to undertake basic manual handling activities on a regular basis.
  • Ability to work flexible hours, including weekends and public holidays.
  • Driving licence desirable

Job Title: Administration Officer - Allotments and Greenspaces

Supervises: No direct supervision

Salary / Grade: SCP 11 £24,054 pro rata 

Job Type: Part-time, 22.5 hours a week, flexible working hours with days to be confirmed.

Weymouth Town Council is one of the newest and largest Town Councils in the country serving a population of 52,000.  It has a range of services from the beach, esplanade, parks, gardens and events to cemeteries, public toilets and allotments. 

We are looking for a part time administrator to join our nationally award winning Greenspaces team. This role will take responsibility for running Weymouth Town Council’s 300 allotments, as well as supporting across all areas. You will be a key player in delivering high standard operations within the Weymouth area. 

Job Purpose:

To support the effective and efficient administration of Weymouth’s Greenspaces service

Key Responsibilities:

  • Allotment administration, including preparation of agreements, processing of relevant allotment documentation and raising annual invoices, producing reports using allotment database and enhancements  
  • Assist with allotment inspections and take compliance actions when necessary. 
  • Respond to queries, complaints and compliments relating to allotments and greenspaces 
  • Administer play area inspections, ensuring appropriate records are kept and repairs are undertaken promptly where required. Support Greenspaces Manager with projects to enhance play areas. Carry out and update risk assessments relating to play areas. 
  • Follow WTC processes to procure goods and services.  
  • Manage footfall counters, including using associated software to process and analyse data.  
  • Support the Greenspaces team with events, cemeteries and health and safety administration.

Weymouth Town Council is hiring a Catering Team Leader to manage the day-to-day operation of two catering outlets, The Prom Café located at Weymouth Beach Office and The Beach Café kiosk at Brunswick Terrace. This is a great opportunity to shape the future delivery of the service.

The successful candidate will be self-motivated, have commercial flair and able to use their initiative to problem solve. As a Catering Team Leader, your responsibilities will include supervising staff, ordering, and monitoring stock and supplies, managing rotas, training staff, and generating new menu ideas. You will also ensure that the catering outlets are operated in line with the Council's operating procedures, follow the Council's health and safety policies, and provide helpful and friendly service to all customers.

Job Purpose:

  • To manage the provision of a cost effective, high quality, customer orientated catering service

Some of the key responsibilities:

  1. To manage the day-to-day operation of the Council run catering outlets.
  2. To act as team leader including supervision of staff and daily operations in the absence of the Catering Supervisor. Includes key holder responsibilities for the opening, closing and security of catering outlets at these times.
  3. Ensuring facilities are operated in line with the Councils operating procedures.
  4. Support the Resort Manager with budgeting and income maximisation.
  5. Assisting in the staff recruitment throughout the year.
  6. Order, monitor and control stock and supplies etc through clearly identified systems.
  7. Manage all café staff training and welfare.
  8. Manage rotas, ensuring full staff coverage each day.
