Job Title: Administrator Officer - Civic and Democratic Services
Reporting to: Business Manager
Salary / Grade:Between SCP10 (£23,620pa, £12.28ph) and SCP16 (£26,357pa, £13.70ph) depending on skills, experience, and agreed remit.
Job Type: Permanent, fully flexible, up to two evenings a week, (usually one on Wednesdays), very occasional weekend work.
Overview
This is an exciting opportunity for a motivated individual with an eye for detail to lead our democratic and civic work. You’ll be supporting Councillors and senior management to achieve their key responsibilities. You’ll ensure the Mayor is supported, their diary proactively managed, and that our meetings are well managed and legally compliant.
This vacancy is open to experienced and new administrators alike – being fully flexible in terms of training, responsibility level, and development plans. This is a key role that will give you the opportunity to either develop or use a wide range of transferable skills.
Job Purpose:
- To deliver the democratic administration around Councillor meetings both public and private.
- To support Councillors in fulfilling the requirements of the role through organisation and support.
- To support the Mayor and Deputy Mayor in their civic duties, ensuring diaries are managed, commitments are communicated, and civic requirements met.
- Working with the public to ensure they understand the roles and responsibilities of councillors and how to access democratic services.
- To support officers and Councillors in carrying out delegated actions.
- To carry our administrative support including responding to enquiries from the public and tracking public engagement etc.
Key responsibilities
- Undertake all tasks associated with administering the Council’s governance arrangements, including agenda collation and despatch, preparation of minutes, advice to staff, Councillors, and the public, and ensuring proper legal governance.
- Evening attendance at Committees to provide administrative support is preferred (approximately one per fortnight but may fluctuate occasionally, flexi time is available to balance working hours. There may be some flexibility for the right applicant.)
- Possible clerking of some Committees.
- Providing an effective support service to Councillors, including handling enquiries and updating web pages on the Council’s website.
- To participate in the creation and delivery of the Council’s Councillor training and development programme.
- Managing the Mayor and Deputy Mayor’s diary and appointments.
- Support departments at civic events with the events team and communication team to highlight benefits and events to the community.
